Communication with the Board of Directors is conducted in a timely manner daily, weekly, monthly or as needed. We also provide friendly and responsive management services Monday through Friday and a 24 hour live person emergency line for after hour emergencies to all members of an association.
We assist the Board of Directors from the responsibilities of the day to day operation and administration of the Association, allowing them to perform their important functions of decision making for their communities.
MAINTENANCE
SunVast also assists associations in locating and contracting with the best service providers available, taking full advantage of our knowledge and relationships developed through many years of working with the most talented and experienced providers. We assist the Board of Directors with bid solicitation processes, and proposal requests from vendors. All bids and proposals are submitted to the Board for approval before work is commenced. We also supervise and monitor vendors to ensure the quality of work, and that the work is completed to the desire of the Association and owners.
ADMINISTRATION
We understand the importance of decision making. That’s why we make it our priority to provide our Board of Directors with accurate and timely financial reporting so you can make informed and intelligent decisions.
These include:
- Preparation of monthly bank reconciliations.
- Maintenance of assessment rolls including coordination of required closing information to assist title companies and attorneys with successful and timely closings for our owners, including the preparation of statutorily required estoppel letters.
- Coordination of the preparation and distribution of assessment coupon books to each association member.
- The daily management of Association funds is equally as important as paying your bills on time to avoid overdrafts and bank fees. This is accomplished by our accounting team’s daily management of the Association’s funds and disbursements.
- Billing, collection, and tracking special assessments
- Assistance in obtaining property and liability insurance for the association.
- Assistance in reporting and filing of insurance claims on behalf of the association.
- Preparation of monthly management reports for the Board of Directors, summarizing significant events and actions for the period.
- Attendance and coordination of all board, annual, and special meetings. We take care of all the details so our Board Members can focus on their most important roles of directing procedures and making decisions. This includes preparation, mailing, and posting proper notices for board, annual, and special meetings, as well as taking and transcribing the minutes of board and annual meetings.
- Advising the Board of items that may be appropriate for meeting agendas.
- Keeping the Board of Directors apprised of new and current state laws and any statutory changes approved by the Florida legislature.
- Facilitation of communication between the members and the Board.
- Assistance in establishing and scheduling annual Association goals with the Board of Directors.
COMPLIANCE
- Performance of regular inspections of the physical appearance and condition of the member properties to assess compliance with the covenants, restrictions, and by-laws of the association. We enforce the Association Rules and Regulations by implementation and issuance of violations and fines through established fining committees, pursuant to Florida Statutes.
- Follow up on complaints of violations or maintenance issues received from association members or the Board.
- Issuing violation notices and taking other appropriate action necessary to resolve a compliance issue in accordance with the association documents and instructions of the board.
- Handling and processing all architectural modification applications by owners as instructed by the board of directors or the architectural review committee.
